t-method – DOCUMENT MANAGEMENT SUPPORT

Well-organized document management is essential for the company’s successful management and smooth operation. Multilevel documentation is necessary to define operation in any management system.
This documentation regulates production/service processes, ensures transparency and structure, in line with corporate targets.
The t-method software offers support in creating, maintaining, reviewing and archiving all regulatory documents.

Creating documents

The user can add version information to the following documents:

  • documents created with structured data input in t-method software, e.g. process map, process description, production process flow chart, PFMEA, Control Plan, characteristics matrix and/or
  • documents of other electronic format (Word, Excel, pdf, etc.), linked documents, e.g. product designs, forms, work instructions; in line with the requirements of ISO /TS 16949.

Review, approval

  • Version information is added in project structure, which enables the user to manage documents with common data content together, and ensures data coherence.
  • Reviewers and approvers can be appointed by users with the necessary permits.
  • The document cannot be validated without performing the predefined reviews and approvals, and the approval by all involved persons. Reviewers and approvers can sign the document with an electronic signature.
  • During the approval process all involved persons receive an electronic message of any task, entry or status change to be done.
  • During the approval process all involved persons can make comments on their decisions. These comments are available to all involved persons and can be queried.

Usage

  • When validating a document, the latest version automatically replaces the old one, and employees can access only the current valid version.
  • If a document is validated, the lists are automatically updated.
  • The t-method software supports fully computer-based document management and usage.
  • However, the t-method software offers mixed (electronic and paper versions) distribution as well.
  • Employees with electronic access rights receive a notification in e-mail about the changes.
  • Employees without electronic access rights are informed about document changes by allocated instructors. The allocated instructors receive an e-mail notification of the changes, and an information distribution list assists them.
  • The document distribution is documented, and employees and documents can be queried in the system.
  • In the t-method software access rights can be defined for each document.
  • Users with query rights can access a simple interface with quick search options, where only necessary information is available to them.
  • The finished documents can be imported in xls and pdf format.
  • A warning system linked to the regular document review supports the user in complying with relevant regulations.

Archiving

  • In the t-method software all versions of documents with version information are archived and can be queried.
  • In the extended search the user can search current, archive and draft documents.
  • The user can query entries, approver and reviewer names, dates, which were added to version information.
  • The time periods and document distribution for employees can be queried in the documents matrix.
  • Query of APQP documents, especially FMEA, can be carried out with advanced query panel. Fully integrated knowledge database
  • The finished documents can be imported in xls and pdf format.

Efficiency measurement (e-exam)

With the appearance of the new standard there is an increasing need from the auditors and the customers to prove the efficiency of our activity. ISO 9001:2015, article 7.2. The Efficiency measurement module (e-exam) is meant to meet this requirement. With this module the users can check and document the learning of every document through an exam. The users are able to define

  • set of questions respectively
  • questions

for every document that was versioned in the t-method system

Every user – to whom a document is referring – can electronically prove the learning of the document through the questions set in advance in the software. If the exam is successful then the document gets the automatically learned status and the result of the exam is being saved to the given user. The exam can be performed even by the users and the employees, too, either

  • on the tablet
  • or the cell-phone
